1. About Trade Tool
Trade Tool (“we,” “us,” or “our”) is a software-as-a-service platform built for residential remodeling contractors. We help contractors manage jobs, schedules, customers, estimates, and invoices in one place.
This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data. By using Trade Tool, you agree to the practices described here.

2. What We Collect
We collect the following categories of information:
- Account information: Your name, email address, phone number, and company name when you sign up.
- Job and project data: Job details, project notes, estimates, invoices, expenses, and status updates you create in the app.
- Customer data: Names, phone numbers, email addresses, and addresses of your customers, which you enter into the app. You are responsible for ensuring you have appropriate consent from your customers to store their information in Trade Tool.
- Photos and files: Photos, documents, and files you upload related to jobs or projects.
- Payment information: Billing is handled by Stripe. We do not store your full credit card number or payment credentials — Stripe processes and stores payment data on our behalf.
- Google Calendar data: If you connect Google Calendar, we access calendar events as described in Section 6 below.
- QuickBooks data: If you connect QuickBooks, we sync transaction data as described in Section 7 below.
- Usage data: Pages visited, features used, and error logs, collected automatically to help us improve the product.

3. How We Use Your Data
We use your data to:
- Provide, operate, and maintain the Trade Tool service.
- Send transactional emails (job updates, invoices, portal links, account notifications).
- Send onboarding and trial-related emails (you can unsubscribe from these at any time).
- Process payments via Stripe.
- Sync calendar events with Google Calendar when you connect it.
- Sync financial transactions with QuickBooks when you connect it.
- Provide in-app AI features that help users with things like photo captions, estimate suggestions, expense categorization, and business questions.
- Monitor and fix errors in the application (via Sentry).
- Analyze usage patterns to improve the product (via PostHog).
- Respond to support requests.
We do not use your data for advertising, and we do not sell your data to third parties.
4. Photo and File Storage
Photos and files uploaded to Trade Tool are stored in Cloudflare R2 cloud storage so they can load quickly in the app, customer portal, gallery links, and shared photo reports.
In practice, this means files are shared using direct links. Those links are not publicly listed or indexed, but anyone with the link may be able to view the file or photo.
- Photos shared through customer portals, gallery links, or photo reports can be viewed by people who receive the link.
- Trade Tool is designed for job-site photos, project documents, permits, plans, and similar business materials.
- Please avoid uploading highly sensitive personal information such as government IDs, Social Security numbers, medical records, or financial account documents.
By uploading content to Trade Tool, you acknowledge and accept this storage and sharing model.
5. AI-Powered Features
Trade Tool uses artificial intelligence to provide in-app assistance, including help with photo captions, estimate suggestions, expense categorization, and answering business-related questions inside the app. When you use these features:
- Relevant data needed to answer your request, such as photo images, estimate details, expense descriptions, or business context, may be sent to third-party AI providers for processing.
- We do not use your data to train AI models.
- AI-generated suggestions are not guaranteed to be accurate. You are responsible for reviewing and verifying any AI-generated content before using it in your business.
6. Google Calendar Integration — Data Disclosure
Trade Tool integrates with Google Calendar to help you schedule and track jobs. By connecting your Google account, you authorize Trade Tool to access your calendar as described below. Our use of Google user data complies with the Google API Services User Data Policy, including the Limited Use requirements.
- What we access: We access your Google Calendar to create, update, and delete calendar events on your behalf, using the
calendar.eventsandcalendar.readonlyscopes. - How we use it: Google Calendar data is used solely to sync job-related scheduling events within Trade Tool. We do not use Google user data for advertising, to build user profiles, or for any purpose beyond providing the scheduling feature you have requested.
- No third-party sharing: Google user data is not transferred to or shared with third parties except as strictly necessary to provide the Trade Tool service (e.g., storing tokens in our database).
- Security: Calendar access tokens are stored securely and encrypted at rest. They are used only to perform actions you explicitly authorize within Trade Tool.
- Disconnect at any time: You can disconnect Google Calendar at any time in Settings → Integrations. This immediately revokes and permanently deletes your Google tokens from our system.
7. QuickBooks Integration
If you connect QuickBooks, Trade Tool performs a one-way, read-only sync of your purchase and bill transactions to help categorize and allocate expenses. We never write data back to your QuickBooks account. You can disconnect QuickBooks at any time in Settings.
8. Customer Portal & Communications
When you share a customer portal link with your clients, those clients can view project documents, photos, invoices, and communicate with you through the portal. Your customers' interactions with the portal (page views, document opens) are tracked to provide you with engagement insights.
Emails sent to your customers on your behalf (portal links, estimates, invoices, change orders) include an unsubscribe option. You are responsible for not using Trade Tool to send unsolicited communications.
9. Third-Party Services
We use the following third-party services to operate Trade Tool. Each has its own privacy policy:
- Supabase — Database and authentication
- Stripe — Payment processing
- Cloudflare R2 — File and photo storage
- Resend — Transactional email delivery
- Google Calendar API — Calendar sync (see Section 6)
- QuickBooks API — Accounting integration (see Section 7)
- OpenAI / Anthropic — AI-powered features (see Section 5)
- PostHog — Product analytics
- Sentry — Error tracking and monitoring
These services may process your data as part of delivering their services to us. We require that they handle your data in accordance with applicable privacy laws.
10. Data Retention
We retain your account data for as long as your account is active. If you cancel your subscription, we retain your data for 90 days to allow you to reactivate or export it, after which it is permanently deleted from our systems.
You can request immediate deletion of your account and data at any time by emailing support@tradetool.app. We will process deletion requests within 30 days.
11. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data in your account (most data can be updated directly in the app).
- Delete your account and associated data.
- Export your data in a portable format.
- Unsubscribe from marketing and onboarding emails at any time via the link in any email.
To exercise any of these rights, email support@tradetool.app. We will respond within 30 days.
California residents: Under the CCPA, you have additional rights including the right to know what personal information we collect and the right to request deletion. We do not sell personal information as defined by the CCPA.
12. We Don't Sell Your Data
We do not sell, rent, or trade your personal information to third parties for their marketing or commercial purposes. Full stop.
13. Cookies
We use cookies for session management, authentication, payments, and limited product analytics. See our Cookie Policy for a full breakdown of what cookies we use and how to control them.
14. Security
We use industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), secure authentication, row-level database security policies, and strict access controls. However, no method of transmission over the internet is 100% secure. We cannot guarantee the absolute security of your data.
15. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top and, for material changes, notify you by email or in-app notice. Continued use of Trade Tool after changes are posted constitutes acceptance of the updated policy.
